Strata Intercom Upgrade Checklist
Use this checklist before requesting or comparing apartment intercom proposals. It is designed to help a strata committee define the building problem clearly enough that providers can respond to the same scope.
1. Document the current system
- Number of apartments
- Number and location of visitor entrances
- Current entrance panels and apartment stations
- Known faults or resident complaints
- Existing controlled doors and access system
- Available network and communications infrastructure
- Current delivery and visitor process
2. Define the resident outcome
- Should residents answer visitors while away from home?
- Is video required?
- Will residents use a dedicated app, an existing service or an apartment station?
- How will new residents be added and departing residents removed?
- What accessibility requirements need to be considered?
3. Define the entrance experience
- Traditional entrance panel, compatible tablet, QR code or another interface
- How visitors find the correct apartment
- Lighting, weather and physical placement
- What happens if a visitor does not have a suitable mobile phone
- Signage and instructions
4. Separate intercom and access requirements
- Is the project communication-only?
- Which doors, if any, need resident-controlled release?
- What existing access-control hardware must remain?
- Who is authorised to change access settings?
- Does the proposed intercom depend on a particular access-control platform?
5. Include deliveries and temporary visitors
- How couriers contact residents
- Where parcels can be left
- Whether parcel lockers are required
- How residents receive parcel notifications
- Whether tradespeople or guests need time-bound visitor access
6. Compare the full cost
Do not compare proposals only by the headline equipment price. Include installation, cabling, entrance hardware, apartment hardware where applicable, software or subscription charges, access-control work, ongoing support and future administration.
7. Plan resident communication
- Notice before changeover
- Simple resident instructions
- Support contact during rollout
- Process for updating resident details
- Clear explanation of what is changing and what is staying the same
8. Ask each provider the same questions
A consistent brief makes quotes more meaningful. Ask providers to state assumptions and exclusions, identify retained infrastructure, describe the resident workflow and separate optional access-control work from the core intercom scope.
